Best Free & Affordable Personal Trainer Software & Apps
Best Free & Affordable Personal Trainer Software & Apps
Personal Training

For a coach with 10 clients, the most affordable personal trainer software options are Google Sheets and Notion, which are both free, then PRO COACH at $129 one-time, followed by coaching apps from $25 to $59 a month.
The difference that matters is how you pay. Three of the four apps below charge monthly and price by how many clients you coach, so the bill rises as you grow. Free software and one-time purchases don't.
Every price below is for 10 clients, in USD, at list price with no add-ons, billed monthly unless noted, checked October 2026.
Software | Plan for 10 clients | Monthly cost (USD) | Year one (USD) | 3-year total (USD) |
|---|---|---|---|---|
Google Sheets | Free | $0 | $0 | $0 |
Notion | Free plan | $0 | $0 | $0 |
PRO COACH (for Notion) | One-time purchase | None | $129 | $129 |
Hevy Coach | 1-10 clients | $25 | $300 | $900 |
Everfit | Pro, 10 clients | $29 | $348 | $1,044 |
Trainerize | Pro 15, billed annually | $45 | $540 | $1,620 |
My PT Hub | Premium (Starter covers 3) | $59 | $708 | $2,124 |
1. Google Sheets
Price for 10 clients: Free with a Google account
Best for: Trainers comfortable building and maintaining their own templates

Google Sheets costs nothing, and you probably already know how to use it. You can build a tab per client, log sessions, track lifts and bodyweight, and share a sheet with a client by link.
The catch is that everything is built and maintained by you. There's no client app, no structure beyond what you set up, and nothing connecting one client's sheet to the next. On a phone between sets, a grid of small cells is hard to read and harder to edit, which matters if you coach in person on the gym floor.
Pros
Completely free, with no client limit
Familiar, flexible, and easy to share by link
Works on desktop and in the Sheets mobile app
Cons
You build and fix every template yourself
Fiddly to use on a phone during sessions
One sheet per client gets harder to manage as your roster grows
No client-facing app, plans library, or business tracking unless you build them
If you're outgrowing spreadsheets, see our personal trainer spreadsheet alternative.
2. Notion
Price for 10 clients: Free
Best for: Coaches who want more structure than a spreadsheet without a monthly fee

Notion is a free workspace app where you can build linked databases for clients, workouts, and plans instead of flat grids. It runs in the browser and in Notion's desktop and mobile apps, so the same system works at your desk and on the gym floor.
The Free plan gives one person unlimited pages and blocks, so you can build a full coaching system without paying. Clients log in to their own pages for free. If you need more client logins than one free account allows, you can share pages by link, or copy your whole system into a second free account in seconds and switch between accounts in the app.
The downside is time. Building a full coaching system in Notion from a blank page takes a lot of setup, which is where a ready-made template comes in.
Pros
Free for solo use, with no client limit on your own pages
Linked databases, so a workout or meal plan can be reused across clients
Works on phone, tablet, and desktop
Cons
Starting from scratch takes hours of setup
2b. PRO COACH: a ready-made Notion system for coaches
Price for 10 clients: $129 one-time, works on Notion's free plan
Best for: In-person and online coaches who want an all-in-one system without a subscription
Full disclosure: PRO COACH is my product. It's a Notion template built for personal trainers and fitness coaches, so you get the coaching system without building it yourself. It's used by 1,700+ coaches and featured in Notion's own Best Fitness Tracking Templates for Personal Trainers collection.

What's included:
Client portals with a built-in CRM, goals, session notes, and progress tracking
Fitness, diet, body, health, and custom trackers (strength, 1RM, cardio, macros, weight, measurements, ROM, habits, check-ins)
A training plan builder with 200+ exercises and stretches pre-added
Meal plans built from an ingredients database, with calories and macros calculated automatically
Finance, invoice, lead, and marketing tracking for the business side
Clients open their portal in the free Notion app or through a link in any browser, at no cost to them. You pay once, get future updates included, and there's no cap on clients or plans.
For comparison, at 10 clients $129 is less than six months of Hevy Coach ($25/month), five months of Everfit Pro ($29/month), or three months of Trainerize Pro 15 ($45/month, billed annually).
Pros
One payment, no monthly fee, updates included
Unlimited client pages, training plans, and meal plans
Fully customizable layouts, branding, units, and trackers
Coaching and business management in one place
Cons
Runs inside Notion, so there's a learning curve if you've never used it (setup guides and videos are included)
No built-in payment processing
See PRO COACH or compare it with other subscription-free personal trainer software.

Best for: Strength-focused coaches, in person or online, who mainly deliver workouts

You get unlimited workout programs, a 400+ exercise video library plus custom exercises, tracking of clients' workouts and measurements, client chat, and coaching teams. Price for 10 clients: $29/month on Pro ($348 a year)
Best for: Online coaches who want workouts, nutrition, habits, and booking in one client app
Everfit's free Starter plan stops at 5 clients, so a coach with 10 needs Pro at $29/month. Annual billing saves 16%, bringing that to $24/month.
Pro includes a workout builder, an exercise library of 1,000+ movements, metrics and progress photos, habit coaching, forms and questionnaires, a food journal with macro tracking, basic meal plans, booking and scheduling, custom branding, and iOS and Android apps for you and your clients.
Payments and packages (from $9/month), automation (from $29/month), on-demand workout collections (from $25/month), and advanced meal plans (from $39/month) are paid add-ons.
Pros
Booking, habit coaching, and macro tracking all included at 10 clients
Custom branding with your logo and colors
Cost per client falls as you move up tiers
Cons
Free plan stops at 5 clients
The bill steps up again past 10 clients ($49/month for 20)
Payments, automation, and advanced meal plans cost extra
5. Trainerize
Price for 10 clients: $45/month on Pro 15, billed annually ($540 a year)
Best for: Coaches who want a client app with wearable and MyFitnessPal integrations
Trainerize (now ABC Trainerize) prices its Pro plan by client seats, so 10 clients needs the Pro 15 tier. Its pricing page only shows the 5-client price ($25/month, or $23 billed annually) until you choose a tier. Pro 15 is $45/month on annual billing, per Coachway's September 2026 check of that page, and month-to-month costs more.
Pro includes an AI workout builder, custom client programs, meal and macro tracking, wearable and MyFitnessPal integrations, custom exercise videos, consultation forms, and challenges. There's also a permanent free plan for 1 client if you want to try it.
Several features are sold separately: Stripe payments ($10/month), video coaching ($10/month), the Business add-on for scheduling and selling ($25/month), advanced nutrition coaching ($20/month on Pro 15), and a custom branded app ($169 one-time).
Pros
Wearable and MyFitnessPal integrations included
Client app covers workouts, nutrition, and habit tracking
Free plan for trying it with 1 client
Cons
Costs more than Hevy Coach or Everfit at 10 clients
Payments, advanced nutrition, and branding are paid add-ons
Your 16th client moves you to Pro 30 ($71/month billed annually)

6. My PT Hub
Price for 10 clients: $59/month on Premium ($708 a year)
Best for: Coaches planning to grow well past 10 clients who want one flat monthly price
My PT Hub's Starter plan ($25/month) covers only 3 clients, so 10 clients means Premium at $59/month, or $52 on annual billing paid monthly. Every plan has a 30-day free trial with no card required.
Premium covers unlimited clients, workouts, and nutrition plans. It includes payment processing, 1-to-1 and group bookings, habit coaching, metrics and progress photos, chat, an AI workout builder, automated check-ins, scheduled messaging, and community features.
Add-ons include a custom branded app ($95 one-time), extra trainers ($10/month each), AI check-ins ($12/month), and Zapier ($19/month).
Pros

What's the cheapest personal trainer software for 10 clients or fewer?
At 10 clients or fewer, Google Sheets and Notion are free, and PRO COACH is the lowest-cost paid option at $129 once, against $300 to $708 a year for the coaching apps above. Hevy Coach is the cheapest monthly app, at $25 for up to 10 clients.
With 5 clients or fewer, Everfit's free Starter plan also gives you a dedicated client app for $0. And because PRO COACH runs on Notion's free plan, clients log in to their portals without you paying for Notion.
Free vs paid personal trainer software
Four of the seven options have a free plan, but only Google Sheets and Notion stay free at 10 clients.
Google Sheets: free with no client limit, but you build and maintain everything yourself
Notion: free, with clients able to log in to their own pages at no cost
Everfit: free for up to 5 clients
Trainerize: free for 1 client
Hevy Coach and My PT Hub: no free plan, only a 30-day free trial
Paying for a coaching app at 10 clients gets you a dedicated client app plus extra features depending on the plan, such as booking (Everfit, My PT Hub), payments (included on My PT Hub, an add-on on Everfit and Trainerize) and automated check-ins (My PT Hub). PRO COACH sits between the two: a one-time payment for a ready-made coaching system that runs on Notion's free plan.
