Personal Training

If you're an in-person personal trainer, you still need a way to track client progress and notes. You need to know what each client lifted last session, which knee they're protecting and whether they're on track for the goal they hired you for.
A coaching app can do that. But you'd be paying every month for features like sending workouts to a client's phone, in-app messaging and check-in forms. When your client is standing in front of you, you don't need an app for any of that.
So what are your options? Here's what an in-person trainer actually needs to track, how paper notes, spreadsheets and coaching apps hold up on the gym floor, and how to get the features of a coaching app without the monthly cost.
What an In-Person Trainer Actually Needs to Track
Take away the online coaching features and the list is short:
Client details: contact info, goals, injuries and health notes.
Every session: exercises, sets, reps and weights, so you know what to beat next time.
Session notes: how they moved, how they felt and what to change.
Progress: bodyweight, measurements, photos and strength over weeks and months.
Programs: what's planned for the next session and the weeks ahead.
The business side: sessions done, invoices and new leads.
And it all has to work on your phone, mid-session, in the few seconds you get between sets. That's the real test for every option below.
What You're Paying for With a Coaching App
A coaching app is a monthly subscription, and the four below all price by how many clients you have. Here's what each one costs for 10 clients:
App | Plan that covers 10 clients | Per month | Per year |
|---|---|---|---|
Pro (10 clients) | $29 | $348 | |
Pro 15 | $50 | $600 | |
Standard (up to 20 clients) | $57.99 | $695.88 | |
Pro (25 clients included) | $59.90 | $718.80 |
Prices in USD on monthly billing, from each app's pricing page, checked November 6, 2026. Some apps discount annual billing, but you still pay every year you use them.
That's before add-ons. Trainerize, for example, charges an extra $10/month for integrated Stripe payments and $25/month for its Business add-on.
If your clients train with you in person, you'd be paying all of that mainly for the tracking. Sending workouts to their phone, messaging in the app and running check-ins are jobs you're already doing face to face.

What About Paper Notes or a Spreadsheet?
These are the two free (or nearly free) options. Both work, up to a point.
Paper Notes
A notebook or a printed session sheet is quick, cheap and never runs out of battery. For logging a single session, it's hard to beat.
The problems show up over time. You can't search it, you can't see a client's progress at a glance, and comparing this month to three months ago means flipping back through pages. It's one lost bag or spilled drink away from gone, and there's no easy way to show a client how far they've come.
Spreadsheets
A spreadsheet fixes most of that. Google Sheets is free, it handles numbers well and you can set it up however you like.
The trouble is the gym floor. On a phone, a spreadsheet means tiny cells, pinching and zooming, and scrolling sideways to find this week's column while your client waits for their next set.
You also have to build and maintain it yourself. One tab or file per client gets messy as your client list grows, notes and progress photos don't fit neatly into cells, and sharing a file with a client risks showing them more than their own data. If you're running clients from a spreadsheet now, here's a closer look at the best spreadsheet alternatives for personal trainers.
So you're stuck choosing between quick but limited (paper), flexible but fiddly (spreadsheets) and polished but billed every month (coaching apps).
What If You Could Get Coaching App Features Without the Monthly Cost?
Picture the flexibility of a spreadsheet with the ease of a mobile app you can use quickly on the gym floor, and no subscription. That's what you get when you run your clients in Notion.
Notion is a free workspace tool with apps for iPhone, iPad, Android and desktop. Its databases work like a spreadsheet, with rows, columns, filters and formulas. The difference is that every row opens up into a full page.
So each client can be one row in your client list and also their own page, with their details, notes, sessions and progress in one place. At your desk, you sort and filter everything like a spreadsheet. On the gym floor, you tap into one client's page instead of scrolling through a grid.
You could build that system yourself, but it takes a lot of setup. PRO COACH is that system, already built.
PRO COACH: Coaching App Features You Pay for Once
PRO COACH is a ready-made Notion system for personal trainers, and you only pay for it once. Full disclosure: it's my product.
You add it to your free Notion account and run your clients from there. It isn't a separate app: it runs inside Notion, so you use it through the free Notion app on your phone, tablet or computer.
Here's what it covers:
Client portals: every client gets their own page for their details, goals, session notes and progress, with a built-in CRM.
Session tracking: log each session and add notes as you go.
Progress tracking: workouts, strength, 1RM, personal bests and cardio, plus bodyweight, photos, measurements and range of motion. There are diet, habit and custom trackers too. Here's a closer look at tracking clients in Notion.
Training and meal plans: build your own plans from a library of 200+ exercises and stretches, then assign them to clients.
Business tools: finance and invoice tracking, lead tracking and marketing planning in the same workspace.
Customization: change any page, color, layout or section and add your logo, with no coding.
On the gym floor, open the Notion app and tap into your client's page. Their sessions, notes and progress are all there, and you log today's session as you go. PRO COACH includes mobile-optimized pages and views, so you're not squinting at a desktop layout on a phone.
If you want clients to see their plan or progress between sessions, you can share their page. They can open it in the free Notion app or, without an account, through a browser link.
It's a one-time payment with lifetime access, free updates and lifetime email support. PRO COACH is used by 1,700+ coaches in 50+ countries and is featured in Notion's own collection of fitness tracking templates for personal trainers.

Progress over time | Flip back through pages | Only if you build it | Built in | Built in |
Customization | Write anything | Total, if you build it | Within the app's options | Any page, layout or section |
Sharing with clients | Not really | Separate file per client | Client app | Notion app or a browser link |
Setup | None | Build it yourself | Sign up and learn the app | Add to Notion, then customize |
So, Do You Need a Coaching App?
If your clients train with you in person, probably not. You need a way to track sessions, notes and progress that's quick to use on your phone and doesn't charge you every month.
A coaching app is the better fit if you need things like processing client payments, letting clients book their own sessions, syncing with wearables or having your own branded app in the app stores. PRO COACH doesn't do those.
If you want coaching app features for your in-person clients without the monthly bill, take a look at PRO COACH.
